One assistant handles them all
There’s no wrong way to reach you: a call, a text, the chat bubble on your site, your contact form. Whichever a customer picks, the same assistant answers, having an ordinary conversation and working toward the things a callback actually requires: a name and a number, what they’re interested in, how urgent it is, and when they’d like to start.
It answers from your own knowledge base (your hours, your service area, your services) and it won’t invent past it, so it never makes a promise you didn’t write down. It sizes every inquiry up as emergency, urgent or routine, and that badge rides the card into the Inbox, so the office triages the right issues first. Asked whether it’s a person, it says plainly that it’s an assistant, gathering information for you and your team, and handing it over the minute the conversation ends.
We don’t hijack your phone
Your phone rings first. You keep your number, and a call rings you the way it always has. The system steps in only on the calls you can’t take — and you pick how. An AI receptionist can answer, have the conversation, confirm the caller’s number and file the lead. Or plain voicemail, transcribed and summarized in about thirty seconds: who called and what they want, read from the top of a ladder.
AI answering is an option, never a mandate: not everybody wants AI on their phone, and voicemail stays the automatic fallback either way. Photos before anyone drives out
When the problem is something you’d have to see, the assistant hands the customer a link to add photos, in its own words about what would help to photograph. Your contact form offers the same link on its thank-you screen, and the office can send it afterwards too. Pictures of the actual problem arrive attached to the inquiry, before anyone burns an hour driving out to look.
One Inbox, with everything at a glance
Every conversation (call, text, chat or form) lands in the same Inbox, each card stamped with where it came from and carrying an AI summary: one sentence saying what it’s about. Nobody replays recordings or scrolls transcripts to triage a morning: the office reads ten lines and knows what the night brought.
A tap turns an inquiry into work: name, contact details, description and photos all carry over, with a suggested match when the number or email belongs to a customer you already have, so an existing client never becomes a duplicate. Dismissing one keeps a reason and is never destructive: dismissed inquiries collapse out of the way and can be reopened any time.
From inquiry to booked work
Past the Inbox, every open lead sits on one board, and each card carries a single plain sentence written from the data (“Estimate sent for $3,432.00. Viewed today.”), never a stale note somebody typed and forgot. A timer on each card darkens when a lead has sat too long, so a stalling lead looks like one and following up is a tap, not a memory. And the Closed tab keeps score: recently won and lost leads in one place, with your win rate printed above them.

What happens to an inquiry that comes in at two in the morning?
It is captured, answered and filed while you sleep. On your website, the chat has the conversation from your own knowledge base, collects a name, a number and a description, and asks for photos if the problem is something you’d need to see. On your phone, the AI receptionist answers if you’ve turned it on; otherwise the voicemail is transcribed and summarized. Either way it’s waiting in your Inbox, with one line saying what they want.
Can AI really answer my phone?
Yes — as an option you turn on, never a default. Your phone rings first and you keep your number; the AI answers the calls you can’t take, has the conversation from the same knowledge base the website chat uses, confirms the caller’s number, and files the lead into the same Inbox. Voicemail stays the automatic fallback; and if you’d rather skip AI answering entirely, transcribed and summarized voicemail is the whole of it.
What will it sound like to my customers?

Do I have to replace my website or my contact form?
No. The chat bubble is one line added to whatever site you already have, and your existing contact form can feed the same Inbox without being rebuilt. Running both side by side is normal: some visitors want to talk, some want to type and leave. If you don’t have a site at all, we build one with capture wired in.
How does the AI know anything about my business?
From your knowledge base: a short list of topic-and-answer entries you fill in once, covering your service area, your hours, what you do and don’t take on, and how you charge. The chat and the phone answer from exactly the same entries, so they can’t contradict each other, and they can’t promise something you never wrote down.
